1. Who we are
Location Flight Services LLC is a limited liability company registered in the Kingdom of Bahrain and the United Arab Emirates. Our primary operations centre is in Manama, Bahrain (Seef Area, near OBBI), with headquarters in Abu Dhabi, UAE (AUH Business City). We provide global trip support, aircraft handling, fuel coordination, permit procurement and charter brokerage services to aircraft operators, flight departments and charter brokers.
For data-protection purposes, LFS is the data controller responsible for personal data collected through this website and our operational systems. If you have questions about this policy, contact our Data Protection Officer at DPO@LFS.AERO.
2. What data we collect
We collect only the personal data necessary to deliver our aviation services and comply with legal obligations. The categories are:
- Contact data — name, job title, employer/operator name, email address, telephone number, WhatsApp number and SITA/AFTN address.
- Trip data — aircraft type, registration, MTOW, passenger names (for customs and immigration manifests), crew passport details, itinerary, fuel requirements and special handling requests.
- Operational data — flight plans, permit applications, slot confirmations, fuel orders, handling requests and associated correspondence with CAA authorities, FBOs and fuel suppliers.
- Website data — IP address, browser type, device information, pages visited, time on site and referral source (via server logs and analytics cookies).
- Marketing data — email subscription preferences, download history (e.g. permit lead-time guides) and event attendance records.
3. How we collect your data
We collect data directly from you when you complete a trip request form, submit a fuel quote enquiry, sign up for our newsletter, download a resource, or correspond with our operations desk by email, phone or WhatsApp. We also receive data indirectly from your appointed agents, aircraft management companies and ground handlers who submit requests on your behalf. Website usage data is collected automatically through server logs and our privacy-first analytics provider (Plausible Analytics), which does not use cookies or track individuals across sites.
4. Legal basis for processing
We process personal data under the following lawful bases: (a) contractual necessity — to perform our trip support and handling agreements; (b) legal obligation — to comply with aviation security, customs and immigration regulations; (c) legitimate interests — to improve our services, prevent fraud and maintain operational safety; (d) consent — for marketing communications, which you may withdraw at any time.
5. How we use your data
We use personal data solely for the purposes for which it was collected: to plan and execute trip support services; to communicate with you about your flight; to process permits, slots, fuel and handling arrangements; to comply with regulatory reporting requirements; to manage safety and security incidents; to send operational updates and service notices; and, with your consent, to share industry insights, regulatory changes and LFS service updates.
6. Data sharing and recipients
We do not sell personal data. We share data only with parties essential to delivering our services:
- Civil aviation authorities — for permit applications, overflight clearances and customs/immigration processing.
- Ground handling agents and FBOs — to coordinate aircraft services, passenger handling and VIP protocols.
- Fuel suppliers and into-plane agents — to arrange Jet A-1 / AvGas uplift and invoicing.
- Airport authorities and slot coordinators — for landing slot requests and PPR approvals.
- Service providers — our cloud hosting, CRM and email infrastructure providers (all contractually bound to data-protection standards).
7. International data transfers
LFS operates across the Middle East, Africa, Europe and Asia. Your data may be transferred to and processed in countries where we deliver services, including Bahrain, UAE, Saudi Arabia, Egypt, Jordan, India and European Economic Area countries. We ensure appropriate safeguards are in place for all international transfers, including standard contractual clauses and adequacy decisions where applicable.
8. Data retention
We retain personal data for as long as necessary to fulfil the purposes for which it was collected, including to satisfy legal, accounting and regulatory requirements. Trip operational data is retained for seven years in accordance with ICAO Annex 6 and national aviation regulations. Marketing data is retained until you unsubscribe or withdraw consent. Website analytics data is retained for 24 months.
9. Your rights
Depending on your jurisdiction, you have the following rights regarding your personal data:
- Access — request a copy of the personal data we hold about you.
- Rectification — request correction of inaccurate or incomplete data.
- Erasure — request deletion of your personal data where there is no compelling reason for us to retain it.
- Restriction — request that we restrict processing of your data in certain circumstances.
- Objection — object to processing based on legitimate interests or for direct marketing.
- Portability — request transfer of your data to another controller in a structured, machine-readable format.

10. Security
We implement appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure or destruction. These include encrypted data transmission (TLS 1.3), access controls, regular security audits, staff training and business continuity planning. All staff with access to personal data are bound by confidentiality obligations.
11. Cookies and analytics
Our website uses Plausible Analytics, a privacy-first analytics tool that does not use cookies, does not collect personal data and does not track users across websites. No cookie consent banner is required. We do not use Google Analytics, Facebook Pixel or other third-party tracking scripts.
12. Changes to this policy
We may update this privacy policy from time to time to reflect changes in our practices, technology, legal requirements or regulatory guidance. We will post the updated policy on this page with a revised "Last updated" date. For material changes, we will notify you by email or a prominent notice on our website.
