What crew logistics means in practice
Behind every flight there is a crew that needs somewhere to sleep, a way to get to and from the airport, meals at odd hours, and sometimes a flight home on an airline at the end of a rotation. When those details go wrong, crews lose rest, duty time runs short and the next departure is at risk.
Crew logistics is the work of arranging those details so the crew can focus on flying. LFS handles crew logistics as part of our trip support service and as a standalone service for operators who already have permits and handling in place. Our desk in Bahrain has worked with operators across the Gulf since 2012 and handles Saudi crew requests regularly.
This page is for flight departments, charter and cargo operators, ACMI providers and crew agencies with crews operating in or through Saudi Arabia.
Crew logistics services we arrange
Crew hotels
We book hotels that suit crew rest requirements: close to the airport where turnarounds are short, or in the city for longer stays. We look for quiet rooms, flexible check-in and check-out, and meal options outside normal hours, and we can follow your company's hotel standards and rate agreements.
Ground transport
We arrange transfers between the airport, hotel and any other locations the crew needs to reach, with timings matched to report and release times. Vehicles are booked with local providers and confirmed before the crew lands.
Positioning and commercial travel
We book airline tickets for crew positioning and repatriation, including connections through other Gulf hubs, and keep the bookings aligned with the operating schedule.
Visa and entry guidance
Entry rules for crew depend on nationality, whether the crew are operating or positioning, and how long they stay. We help you understand the current requirements and the documents to prepare, and we can coordinate with the handler on crew processing at the airport. The final decision always rests with the immigration authorities.
On-call support
During the stay, the crew can contact our duty desk at any time for changes, problems with the hotel or transport, or help finding services such as a pharmacy or a medical clinic.
Crew changes
For long missions and ACMI operations, we coordinate crew swaps so the incoming crew arrives rested and the outgoing crew leaves on time.
Cities and airports we cover
Most crew requests in Saudi Arabia involve Riyadh (OERK), Jeddah (OEJN) and Dammam (OEDF), where hotel and transport options are widest. We also arrange crew logistics for Madinah, AlUla, Abha, Tabuk and NEOM Bay, where choices can be more limited and earlier booking helps.
If your crew is flying into Saudi Arabia as part of a wider trip, our business aviation trip support in Saudi Arabia page explains how we combine permits, handling and crew services in one file.
Planning around busy periods
Hotel availability in Jeddah, Madinah and Makkah-area cities is affected by the Hajj and Umrah seasons, and major events in Riyadh and Jeddah can fill hotels quickly. During Ramadan, restaurant hours change and some services run on different schedules. We take these factors into account and suggest booking early when your trip falls in a busy period.
Because event dates change from year to year, we check the current calendar for each request.
Why crew rest matters to us
Fatigue is a safety issue, and crew rest rules are set by the operator's authority and its own procedures. We plan accommodation and transport to protect the rest period you have planned: realistic transfer times, a hotel that is ready when the crew arrives, and pick-up times that leave time for breakfast and briefing. If something threatens the rest period, such as a delayed room or a late vehicle, we tell your operations team straight away.

Hotel and transport availability depends on local providers and the time of year. We confirm each booking before we confirm the plan, and we tell you early if an option is not available.
Choosing the right crew hotel
Not every hotel works well for crews. A good crew hotel offers quiet rooms away from lifts and ice machines, blackout curtains, reliable air conditioning, and a restaurant or room service that can serve a proper meal at three in the morning. Late check-out matters too: a crew released at noon after a night flight needs a room ready, not a lobby wait.
Distance from the airport is a balance. Airport hotels reduce transfer time, which helps on short layovers, while city hotels can offer better rooms and food on longer stays. In large cities such as Riyadh and Jeddah, traffic at peak hours can turn a short drive into a long one, so we plan pick-up times with local traffic in mind.
Many operators have hotel standards or preferred chains. We follow them where possible and tell you when a preferred hotel is not available, offering alternatives with a short explanation of the differences. We also note feedback from crews after each stay, so hotels that did not meet expectations are not booked again.
Finally, we look at the practical details that crews notice: secure storage for flight bags, laundry for longer stays, a gym, and easy access to a pharmacy or clinic. These small things make a difference to how rested a crew feels when it reports for the next duty.
Long-term crew deployments
Some operators base crews in Saudi Arabia for weeks or months, for example during an ACMI contract, a charter programme or a seasonal operation. Long deployments need a different approach from a single layover: serviced apartments or long-stay hotel rates, regular transport between the accommodation and the airport, laundry, and a plan for rotating crews in and out.
We can manage these arrangements for the length of the deployment, keep track of crew arrivals and departures, and coordinate positioning flights when crews change. A single point of contact on our desk follows the deployment, so your operations team does not have to explain the background each time something changes.
If your deployment also needs handling, permits or fuel, we can combine everything in one file.
