Planning an ad-hoc flight to London Heathrow

Heathrow ground handling starts with whether the proposed movement can be accepted, not simply with ordering ramp equipment. EGLL/LHR is a major airline airport, and an aircraft owner or flight department should separate airport acceptance, a coordinated airport slot, the nominated handler’s acceptance and any applicable operating permission. A positive answer to one does not settle the others. Tell LFS whether the flight is commercial charter, private non-revenue, cargo, positioning or medical so the desk can review the correct enquiry with the relevant parties.

Heathrow publishes an operational notice for ad-hoc and charter flights involving the nominated handling agent, Heathrow and Airport Coordination Limited (ACL). LFS coordinates the request and tracks replies; Heathrow controls airport access, ACL coordinates slots, and the approved handling provider confirms the services it can deliver. We do not operate Heathrow, allocate its slots or claim our own Heathrow FBO. Before committing to a passenger itinerary, obtain written acceptance for the actual aircraft, schedule and handling scope.

Slots, airport acceptance and schedule changes

Use UTC arrival and departure times, aircraft registration, type, flight number or callsign and operating purpose in the initial request. Make the planned ground duration explicit: a brief passenger stop and an overnight stay create different parking and service questions. An airport slot is not an ATC departure clearance, a flight-plan acknowledgement or a parking reservation. Each belongs to a separate part of the movement plan. LFS can help keep the references together through flight planning and slots and PPR coordination.

If a departure slips, tell the desk before treating the original arrival arrangement as reusable. The nominated agent and coordinator may need revised details. Airline traffic, local rules, weather and current NOTAMs influence the revised plan, and a requested time is not guaranteed. A proposed alternate must also be checked independently for weather, aircraft suitability, access and handling; the ability to reach London by ground transport alone is not sufficient.

Choosing a Heathrow handling service scope

Heathrow requires permission for companies providing groundhandling services. The airport’s ground-operations licensing material is therefore a useful starting point when validating a proposed provider. The chosen handler must confirm the specific ramp, passenger or cargo services for your movement. LFS brings the flight details and service request together, but neither a directory listing nor the aircraft cards below confirms a provider appointment or aircraft acceptance.

Describe the equipment actually needed: towing interface, GPU electrical requirements, stairs, lavatory and potable-water service, baggage volume, special loading assistance and any passenger mobility needs. For a freighter, add load dimensions, weights and handling constraints. For a patient transfer, the operator and clinical team must define the aircraft access and transfer plan, while the airport and provider confirm airside permissions. Keep operational requests separate from unnecessary personal or medical information.

Fuel, de-icing, hangarage and parking questions

The Heathrow AIP describes visiting-aircraft hangarage, maintenance and repair as arrangements rather than automatic entitlements, and de-icing as arranged with a handling agent. Ask about each service separately. A runway-length comparison does not establish stand fit, pavement suitability, towing clearance, maintenance support or hangar availability. The operator retains aircraft-performance and aerodrome-suitability decisions using current approved data.

For fuel coordination, send the requested uplift units, fuel grade, arrival fuel and billing details. Request confirmation of supplier acceptance, delivery timing and any restrictions around passengers or servicing. Winter de-icing should be considered in the departure sequence and crew planning rather than presumed to fit a fixed turnaround. For hangarage and parking, provide wingspan, height, length and intended duration; confirm space and terms in writing before relying on them.

Passenger, crew and contingency arrangements

Specify how passengers and crew will arrive or leave, whether border formalities are required and whether accessibility assistance is needed. Do not assume a private terminal, aircraft-door customs clearance or direct vehicle access is included. The handling provider and authorities determine the permitted passenger route. Crew logistics can coordinate hotels and transport around the confirmed flight schedule; the operator remains responsible for legal duty and rest.

For a London trip with uncertain acceptance, compare the operational requirements of Gatwick and Farnborough rather than treating them as interchangeable substitutes. Each has its own access, service and scheduling considerations. A contingency plan should name the decision-maker, contact chain and latest viable change point. LFS can coordinate revised arrangements, but neither an alternate enquiry nor a medical urgency guarantees acceptance.

Heathrow enquiry checklist for flight departments

Send these planning inputs through the existing request journey or the handling form below. They are not a universal regulatory document list: the desk and responsible parties confirm what this movement requires. Keep the operator’s dispatch release, actual slot allocation and written provider confirmations available to the crew before departure.

  • Operator name, aircraft registration/type, callsign, operating purpose and relevant operating or insurance documents.
  • Route, UTC arrival/departure, ground duration, passenger/crew counts and any flexibility in timing.
  • Handling equipment, fuel quantity/units, catering, cargo details, mobility requirements and onward transport.
  • Existing airport/slot/handler references, parking needs, billing contact and an operational contact reachable during changes.

Operator questions

Does booking a Heathrow handler secure an airport slot?

No. Handler acceptance, airport acceptance, the coordinated airport slot and any applicable operating permission are separate. LFS tracks the relevant confirmations without guaranteeing an allocation.

Do the aircraft cards confirm Heathrow operational suitability?

No. They retain indicative runway-length comparisons only. The operator must check current performance data, pavement and apron constraints, equipment, access and approvals.

Can a medical or short-notice movement bypass Heathrow rules?

Do not assume an exemption. Communicate the urgency and operating purpose, then obtain the required authority, airport and provider decisions for that flight.

Quick answers
Does LFS handle aircraft at London Heathrow Airport (EGLL / LHR)?
LFS can request ground handling at EGLL through a local handling provider where one is available. Our ops desk runs 24/7; on-site service hours, handler availability and airport access are confirmed with the authority and handler before the trip.
How much notice does EGLL need?
Send the request early; airport, coordinator and handler availability determine acceptance. No fixed notice period guarantees approval.
What is a typical turnaround at EGLL?
Turnaround depends on aircraft type and services ordered; LFS confirms a realistic ground time with the handler when the trip is filed.
Can LFS arrange fuel and permits for EGLL too?
LFS coordinates the applicable fuel, permit and airport-slot requests. Each requires the responsible authority or provider’s confirmation; not every flight needs the same permissions.
How do I request handling at EGLL?
Send the trip to OPS@LFS.AERO or call the 24/7 desk on +973 1330 0313.
Served through the LFS agent network

LFS coordinates EGLL through vetted ground handling agents we appoint and supervise. You deal with one LFS controller for the whole trip; we hold the agent to our turnaround, fuel and reporting standards and audit the invoice before it reaches you.
